Already using Microsoft Outlook? Here’s when Whocan still helps

Microsoft Outlook has a built-in “Scheduling Poll” feature (formerly FindTime). It works well for one specific case: when you and all your participants are inside the same Microsoft 365 organization. That covers a lot of corporate meetings.

It breaks the moment you need to schedule with someone outside your company, coordinate a group where half the people don’t use Outlook, plan something personal — a friend-group BBQ, a parent carpool, a sports team — or simply avoid signing everyone into Microsoft 365. Whocan picks up exactly there: share a link via WhatsApp, email, or anywhere; anyone with the link can respond, no Microsoft account, no installation, nothing. If you’re staying inside a pure-Outlook environment, Outlook Scheduling Poll is the right tool. For everything else — Whocan. You can also compare us to When2Meet if a tight time-grid is what you need.

About Whocan

We used Whocan for the scheduling coordination at our company and it went absolutely perfectly. We're very satisfied and wouldn't change anything at the moment — everything is great!

Henriette Bönisch Marketing Manager

I organize courses for about 30 people every semester. Whocan is a reliable tool for this. It would be nice to be able to limit the number of participants per option, which I believe is already possible. Overall, really good!

Nicolas M. Course Manager

Easy to use and super useful!

Catherine W. Whocan User

Pre-made surveys for every occasion.

Sometimes people ask: Why did you build a tool to find time if there is already Doodle? And it is a fair question. If I look at it from user perspective my answer is: Yes, there are good tools out there that help to find time or dates. But we believe it can be made even better, more easy to use, prettier. And we could add functionality that Doodle is actually missing.

If I answer from my personal view the truth is that we had the idea that with the latest technology and an agile mindset one can build something like Doodle or even Microsoft FindTime with much less effort and resources. You can be super efficient, competitive and even better with only two people as a side project - and have fun. This is what we wanted to prove with Whocan.

Scheduling poll — frequently asked questions

What is a scheduling poll?
A scheduling poll is a way to find a meeting time that works for a group without endless email chains. You suggest several time options, send the poll to participants, and they vote on which times work for them.
How do I create a free scheduling poll?
Enter a title at the top of this page, add the time options you want to suggest, then share the link with participants via WhatsApp, email, or any messenger. You don’t need to create an account.
Do participants need to register to vote?
No. Participants click the link, see the time options, and pick their availability. Nothing else needed.
How is Whocan different from Doodle?
Doodle requires participants (and often the organizer) to create an account, and the free version is heavily ad-supported. Whocan is free, ad-free, and works without any accounts. See our Doodle alternative page for a side-by-side.
Can I use Whocan instead of Outlook Scheduling Poll?
Yes. Outlook Scheduling Poll works best when everyone is inside the same Microsoft 365 organization. Whocan works for everyone with a link — inside or outside any company.
Can I share the poll via WhatsApp?
Yes. After creating the poll, you get a shareable link that works in WhatsApp, Telegram, Signal, iMessage, email, or anywhere else.
How to ask for availability for a meeting?
Set up a scheduling poll and suggest different dates. Send out the poll via email, WhatsApp, or link and ask for a response. Let people vote for the best date. After evaluating the poll, you know exactly which dates work for everyone.
How many participants can vote on a poll?
Unlimited. There is no participant cap in Whocan.
Can participants leave comments?
Yes. Participants can leave private or public comments while voting — useful for noting constraints (“only available after 5pm”) without cluttering the result.
Is Whocan really free? Can I limit participants per time slot?
Yes, Whocan is free — there’s no paid tier required for scheduling polls. It is ad-supported, and we keep ads non-intrusive. You can also cap participation per option when setting up the poll, which is useful for events with capacity constraints.
